Create a work zone

Add a work zone for checking employees are on site when they clock in or out on the Sage HR mobile app.

In Sage HR to start using Geofencing you need to create a work zone. This is an area on a map around your working site, building, or office that you specify. When your employees clock in or out when on the Sage HR mobile app their locations is checked against this work zone.

You can set up your work zones to have the following settings:

  • Show when employees clock in outside the work zone - Admins see on an employee's timesheet whether they were inside or outside the work zone when they clocked in/out

  • Restrict clocking in outside - Employee can only clock in/out when they're within this work zone. If they're outside it, they can't clock in or out

  1. Click your name in the top right, then click Settings

  2. On the settings menu click Timesheets, then click Time clocking.

  3. Under Geofencing click Create your first work zone.

  4. Enter a name for the work zone.

  5. Provide a location for the workzone or select a point using the ineractive map on screen.

    ⚠CAUTION: You can't adjust the location of your workzone after you create it. To change this you will have to create a new workzone.

  6. Select your radius. You can select between 50 metres to 500 metres.

    📌TIP: You may want to create a work zone slightly bigger than your site to allow your employees can clock in with no issues. This is because their device accuracy may vary.

  7. Select your work zone rules:

    • Show when employees clock in outside the work zone

    • Only allow clocking in within work zone

  8. Assign relevant employees to this work zone. You can either assign it to everyone or specific employees.

  9. Toggle on or off whether you want to notify the employee by email that they have been assigned to this work zone.

  10. Click Next.

📎NOTE: The employees assigned to this work zone won't be able to clock in on the Sage HR app until they enable sharing their location with the Sage HR app.

If you select to notify them by email, they receive an email with steps on how to do that.

📌TIP: You can create and assign employees to multiple work zones. If you assign an employee to multiple work zones, for the restrictive clock-in option to work, all assigned work zones must have the same setting.
