Set up user permissions

Set up permissions to control what your employees have access to in Sage HR.

After you finish setting up your employee data, review your permissions. Permissions control who can see and access different parts of Sage HR.

To review them:

  1. Click your name in the top right-hand corner.

  2. Click Settings, then click Permissions.

You can then configure the different permission options available.

Global


These permission settings apply to all users in your Sage HR company, including admin users.

Roles

You give employees roles to control what they can do in Sage HR. You can also create new roles when you need different permissions from the default ones.

Some users already have a role assigned.

Administrator

The person who sets up Sage HR becomes an Administrator by default. Sage HR assigns them both the Employee and Employee Administrator roles. When you give another user Administrator access, Sage HR also assigns them the Employee Administrator role automatically.

Employees

Any new employee added to Sage HR by default only has the permission role of 'Employee' until you assign them another role.

Direct manager

When you set someone as a Direct manager, Sage HR also assigns them the Direct manager permission role.

Team manager

When you set someone as a Team manager, Sage HR also assigns them the Team manager permission role.

📌TIP: There are multiple other default roles with pre-selected permissions available for you to assign users to or edit their permissions.


Manage roles

You can assign users to existing roles. You can even add new roles to have different permissions than other existing roles you already have.

Permissions

This setting is where you can edit the permissions of your existing roles.

For example, you can customise a role so users can only send tasks to employees on their own team, not to everyone.

Admin

Here you can view any users you have given administrator access to. You can enable or disable their access to Settings.

📌 TIP: If you use Sage HR with Sage payroll integration, you manage which admins can view other employees’ payslips in this section.

Performance reports

You can enable or disable whether Direct Managers can access Performance reports of their employees that report to them.

📎NOTE: Only available if you have the Performance module.

Accountants permissions

An Accountant user can access time off and timesheets reports.

📎NOTE: Only available if you have the Timesheets module.

Employees

These settings apply to only employee users, such as controlling what details they can edit in their profile.
