Using placeholders in a signable document

Add dynamic text to a signable document based on your company's data.

You can use placeholders to insert dynamic text into your signable documents. These fields populate according to the data of the user signing the document.

This functionality is useful for creating documents that need to contain employee data and need to be signed individually. This way you only need to create a document once and share it with employees. When they open the document it is personalised to them as they see their data populated on it.

EXAMPLE: A document has employee_full_name placeholder added to it:

When an employee logs in to sign it, it shows their full name populated.


List of placeholders

Below is a list of the different placeholders you can use on a signable document.

General

  • [current_date] - Today's date

Employee details

  • [employee] - The employee's name

  • [employee_first_name] - The employee's first name

  • [employee_last_name] - The employee's last name

  • [employee_team] - The employee's team

  • [employee_work_email] - The employee's work email

  • [employee_personal_email] - The employee's personal email

  • [employee_birthday_date] - The employee's birthday date

  • [employee_anniversary_date] - The employee's work anniversary date

  • [employee_start_date] - The employee's work start date

  • [employee_mobile] - The employee's mobile number

  • [previous_employee_mobile] - The employee's previous mobile number

  • [employee_address] - The employee's address

  • [previous_employee_address] - The employee's previous address

  • [employee_team_managers] - The employee's team manager

  • [employee_direct_manager] - The employee's direct manager

  • [number_of_years_in_employment] - The number of employment years of the employee

  • [employee_current_position] - The employee's current position

  • [employee_previous_position] - The employee's previous position

  • [employee_unpaid_leave_dates] - The dates of the employee's unpaid leave

  • [employee_unpaid_leave_comment] -

  • [employee_termination_date] - The employee's termination date

Employee compensation

  • [current_compensation_amount] - The employee's current compensation amount

  • [previous_compensation_amount] - The employee's previous compensation amount

  • [current_compensation_reason] - The reason for the employee's current compensation

  • [future_compensation_amount] - The employee's future compensation amount

  • [future_compensation_change_date] - The date when the employee's compensation will change (e.g a new compensation amount)

Time off details

  • [timeoff_status] - The employee's time-off status

  • [timeoff_dates] - The employee's time-off dates

  • [timeoff_details] - The employee's time-off details

  • [additional_time_off_details] - The employee's additional time-off details

  • [timeoff_approved_by_full_name] - The full name of who has approved the employee's time off request

Custom fields

When you create custom fields they appear at the bottom of the placeholder list in signable documents like this: [custom_field...]


Add placeholder to a signable document

It's easy to add a placeholder to a document you want signed.

  1. As you create a signable document, on the right menu click Placeholder, then drag the placeholder to where you want on the document.


    Alternatively, drag the placeholder directly to where you want it.


  2. Click on the dropdown and select the placeholder you want to use from the list explained earlier.


  3. The placeholder then updates to say e.g. employee_first_name instead of Placeholder.


📌TIP: Drag and drop the placeholder to move it. When you click on a placeholder you can duplicate or delete it.
