1-to-1 meeting templates

Create templates to use regularly for 1-to-1 meetings in Sage HR.

Written by Oliver Cook

You can create templates for 1‑to‑1 meetings and reuse them when booking a meeting. This saves time because you don’t need to recreate the agenda each time. For example, managers often use the same template for regular monthly catch‑ups.

Add a new 1-to-1 meeting template

You can create new templates from within Performance settings.

  1. Click your name in the top right, then click Settings.

  2. On the settings menu click Performance, then click 1-to-1.

  3. Scroll down to 1-to-1 meeting templates, then click Add.

  4. Enter a title for the template. You can also enter a description.

  5. Select which teams you want this template to apply to.

By default, the All teams option is selected. If you want it to be a specific team, deselect All teams, then select the relevant teams you want to have access to the template.

  6. Select what you want to include in the template, for example, Goals, Quick feedback, etc.

📎NOTE: Some options, such as Goals, only appear if you've enabled them within your Performance general settings.

  7. If you select Discussion topics, click Add sections to add questions to be asked in the meeting.

  8. Name the section. You can also enter a description.

  9. Enter a question. To create an additional question, click ➕ underneath a question.

If you have more than one question, to change the order of the questions, click and hold on the arrows next to a question, then drag it up or down to move it where you want it to be.

📌TIP: If you want to create an additional section, click Add section.

  10. Once you're done, click Save.

The meeting template shows under your 1-to-1 meeting templates, and you can select it when scheduling a meeting.

  • To preview an existing meeting template, click the eye icon next to the meeting

  • To edit a meeting template, click the pencil icon

  • To delete a meeting, click the trash can icon

Why does a template appear greyed out?

A template appears greyed out for one of these reasons.

An admin hasn’t shared the template with the employee’s team

Admins control which 1‑to‑1 templates managers and employees can use for each team. If an employee isn’t on a team that has access to the template, they can’t select it.

To give access, an admin edits the template under Settings > 1‑to‑1 and assigns it to the relevant team.

The meeting comes from an onboarding task

When an onboarding workflow assigns a 1‑to‑1 meeting as a task, Sage HR limits the meeting to the template linked to that task.

Once the employee completes the onboarding task by booking the meeting, they can use any other templates they have access to.

Why don’t some employees see Team goals in a 1‑to‑1 meeting?

Sage HR shows the Team goals section only when the employee links to at least one active team goal.

An employee links to a team goal when they collaborate on it or own a key result within it. If the employee has no links to active team goals, Sage HR hides the Team goals section, even when you select Goals in the meeting template.
