Timesheets general settings

Choose which settings in Sage HR you want to apply to your timesheets.

Only users with Administrator or Timesheets Administrator access permissions can open these settings.

These settings are optional. Choose the options that match how your company uses Timesheets.


Open general Timesheets settings

  1. Select Settings.

  2. Select Timesheets, then General.

The settings you want to apply are optional and depend on how your company runs.

📌TIP: Select Save at the bottom of the page after you make changes.


Timesheet administrators

Use this section to choose who can access Timesheets settings.


Permissions

If you enable Allow employees to export their own timesheets reports, employees can download a report for the selected period.


Time off policies

This section lists your existing time off policies.

When you select a policy, Sage HR shows leave in timesheets based on the Override approved timesheets when editing time off requests setting.

If you enable this setting, Sage HR sets worked hours to zero on leave days and shows a coloured dot for that policy.

If you leave this setting turned off, Sage HR shows leave days as worked hours and adds a coloured dot for that policy.

If you enable this setting and later override approved timesheets when editing a request, Sage HR emails timesheet administrators about the change.

📎NOTE: Changes to these settings apply only to future periods. Sage HR doesn’t update existing timesheets.


Public holidays

You can enable public holidays from the Sage HR calendar in Timesheets.

When a public holiday occurs, Sage HR records zero worked hours for that day.

📌TIP: Employees can still edit hours manually if they work on a public holiday.


Timesheet period

Choose the period length for timesheets. You can use:

  • Weekly

  • Bi‑weekly

  • Monthly

  • Semi‑monthly

You can also choose when Sage HR creates a new timesheet.


Timesheet pre-filling

Sage HR can pre‑fill timesheets so employees update them only when hours differ.

You can choose:

  • Don’t pre‑fill to leave timesheets blank

  • Pre‑fill from working pattern to use assigned working pattern hours

  • Pre‑fill from scheduling to use scheduled shifts, if you use Shift Scheduling

Sage HR can automatically pre‑fill timesheets, so employees only need to update them if their hours differ.


Timesheet viewing

Choose what Sage HR shows on a timesheet. Options include:

  • Contract hours column

  • Difference column

  • Total overtime hours above the timesheet

  • Timesheets for future periods


Timesheet editing and submitting

Use these settings to control how employees edit and submit timesheets.

📎NOTE: Some options don't appear when you enable clock-in.

You can choose settings such as:

  • Automatically submit a timesheet when the employee is away for the whole period

  • Allow employees to reduce hours below their working pattern

  • Allow employees to edit each workday

  • Allow start and end times in the main timesheet view

  • Allow exact break start and end times

  • Limit break length


Alert about a difference from the employee's working pattern

You can show alert icons when:

  • Hours differ from the working pattern

  • Hours are more than the working pattern

  • Hours are more than a set number of hours

  • Keywords: overtime, periods, prefill, holidays, alerts
