Add a new Employment status

How to create a new Employment Status to assign employees to.

Employment statuses help you manage your employees, for example, to show whether they are working full-time or part-time in the company.

To access your employment statuses:

  1. As an Admin user, click your name in the top right, then click Settings.

  2. On the Settings menu click Employee data, then click Employment statuses & Working patterns.


There are four employment statuses already set up in Sage HR:

  • Full-time

  • Part-time

  • Contract

  • Intern

You can edit the names and default weekend days of these statuses, but if you want to change the FTE (full-time equivalent) value, you need to create a new Employment Status.


Create a new Employment Status

  1. Click Add new to create a new employment status.

    πŸ“ŒTIP: If you've already set up an employment status and want to edit the details of it, click the pencil icon.​

  2. Enter the name of the employment status.

  3. Enter the FTE value. This is 1.0. by default.
    ​

    EXAMPLE: If your full-time working week is 35 hours, that means 35 hours is an FTE of 1.0. If the new employment status is for those working 14 hours a week, then the FTE will need to be 0.4.​

    πŸ“ŽNOTE: Once an employment status has been created, you can't change its FTE value. You must instead create a new employment status with the different FTE value.

  4. If the employees' non-working days for this employment status aren't Saturday and Sunday, select Override default weekend days for this employment type.

    A list of days of the week appears. Select which days you want to be the non-working days for this employment status. For example, Tuesday and Wednesday.

  5. Click Save.

  6. When creating an employment status, you can assign employees to this employment status now. Select the relevant employees, then click Save.

    If you wish to assign these employees later, click Cancel. You can then use the Eligibilty option to assign them later.

πŸ“ŽNOTE: The FTE and default working days influence calculations for an employee's time off allowance if they use a time off policy based on Calendar settings.
