Create or edit a working pattern

How to add a new working pattern or edit an existing one.

Working patterns are what you use to help set what hours employees should be working. There may be times you need to create a new working pattern, for example, for employees who work part-time hours.

  1. Click on your name on the top right, then click Settings.

  2. On the settings menu click Employee data.

  3. Employment statuses & Working patterns.

  4. Scroll down to Working patterns.

  5. Click Add working pattern.

    πŸ“ŽNOTE: To edit an existing working pattern click Actions, then Edit working pattern. When updating an employee's working pattern, remember to update their individual allowances and verify that leave entitlements recalculate properly.

  6. Name the working pattern.

  7. Select the Working pattern length. This is how you can create a multiweek working pattern.

  8. To select the working days, click on the sliders.

  9. For each working day enter what time work starts and what time work ends.
    ​
    If required, for each working day, enter the start and end times of the break.
    ​

  10. Once you type in the hours, at the bottom it gives you the total number of hours in that working pattern.

  11. Click Save.

Now you have a working pattern, for employees to use this working pattern you need to assign them to it.

πŸ“ŽNOTE: When updating an employee's working pattern, it's important to ensure that their annual leave calculations remain accurate on working pattern based policies. Proper configuration of both historical and new working patterns helps Sage HR maintain correct leave entitlements.

πŸ“ŒTIP: For employees changing their working pattern, you should add a historical working pattern record. This ensures that leave entitlements are calculated correctly based on their previous working schedule.
