Leave Management reports

Use these reports in Sage HR to review balances, requests, and absence patterns.

Access time off reports

  1. Select Reports from the main menu.

  2. Select Time off.


Overview

Shows a high‑level view of time off, including:

  • A heatmap of employee leave

  • Most‑used time off policies

📎NOTE: Average percentage away uses this formula:


Days booked ÷ (number of employees × days in period) × 100.

Sage HR rounds the result down to a whole number.


Example

  • January has 31 days

  • Ten days booked

  • Fifty employees

10 ÷ (50 × 31) × 100 = 0.645
Sage HR shows this as 0%.


Time off status

Shows a balance breakdown by policy.

You can filter by:

  • Date

  • Team

  • Location

Time off reports

Shows time off requests for a selected date range.

You can:

  • View all employees or one employee

  • Filter by policy or request status

  • Display values in days or hours

📎NOTE: Exportable.


Awaiting approval

Shows all requests waiting for:

  • Approval

  • Resubmission approval

  • Replacement approval

You can approve or decline requests directly from this report.


Employee reports

Shows all time off taken by an employee during a selected period. Includes all policies assigned to that employee.

📎NOTE: Exportable.


Replacement persons

Shows employees who acted as replacement persons for time off requests.

You can filter by date range.


Unused days

Shows unused and available days for a selected policy.

The report groups data by team.

Select a bar to view individual employee balances.


Bradford factor

Shows the impact of sickness absence over the last 52 weeks.

Sage HR uses this formula:
Number of sickness occasions × number of sickness occasions × total days absent.


Individual allowances

Shows each employee’s individual allowance by policy.


Birthdays and anniversaries

Shows upcoming employee birthdays and work anniversaries.

Long term leave

Shows active, previous, and future long‑term leave.

You can edit or delete long‑term leave entries.


Time off ledger

Shows a full audit trail of time off activity.

You can manually increase or decrease balances by recording transactions
