Create a policy sequence to adhere to BCEA (South Africa only)

How to create a policy sequence in Sage HR. It applies to users who need to control the order in which employees use linked leave policies.

Policy sequences allow you to define the order employees use their leave balances when more than one policy is linked through a carryover. Only policies with an active carryover link can be added to a sequence. Once saved, the sequence determines how leave is deducted whenever an employee submits a request.


Create a new policy sequence

  1. Select your User Profile.

  2. Go to Settings > Time off > Policies.

  3. Select + New policy sequence.

  4. Select the parent and child policies you want to link.

    • Only policies with a carryover link appear.

    • You cannot select the same policy twice or reuse a policy that belongs to another sequence.

  5. Choose the usage order:

    • The carryover policy appears first by default.

    • Drag and drop the policies if you want to change the order.

  6. Select Save.

📎NOTE: The system always follows the saved sequence when employee request leave.

Requesting time off

When employees book annual leave:

  • They select the policy sequence (e.g. “Annual leave”)

  • The system shows the total days available across all linked policies.

  • When the request is submitted, Sage HR automatically deducts from the carryover policy first, then from the parent policy.

  • Managers can approve or decline as usual
